Enhancements 🌟

More Extension Points!

Previously, Extension Points were limited to a select few automations, which limited our Partners from fully utilizing the functionality. With this release, we’ve expanded Extension Point availability to the beginning and end of ALL Pia Chatbot automations so that you can use these points to add extension automations in your selected Pia automation. License de-provisioning through Bulk User Offboarding!

The Pia: Bulk User Offboarding automation has been updated with the license de-provisioning option allowing you to de-provision licenses for multiple offboarded users simultaneously. (#26522)

Additional Changes

  • The SmartForms: User Onboarding and SmartForms: User Offboarding automations have been updated such that when manual tasks are present Pia will prompt the engineer to confirm manual tasks are completed on the ticket before proceeding to close the ticket. This will prevent zero touch automation from closing the ticket in cases where manual tasks are required to be completed. (#26542)

  • Removed the prompt for litigation hold in Pia: Staff Offboarding automation as it is no longer a requirement from Microsoft to maintain a license on a shared mailbox where litigation hold was enabled. (#27470)
  • Updated the package config form of the Pia: Staff Onboarding automation with the ability to configure access level based shared mailbox permissions. Also, updated the Semi Hybrid version of the automation with the ability to copy mailbox permissions for cloud mailboxes. (#27656)

  • Implemented the welcome email functionality to the SmartForms: Staff Onboarding automation so that a welcome email can be sent to the new staff once their account is setup. (#28125)
  • Enhanced the Extension point data schema for all the extension points available in SmartForms: Staff Onboarding and SmartForms: Staff Offboarding automations to include additional attributes such as the submitting user's email address, immutable ID (for Cloud Hybrid versions), and details on user creation—specifically, the creation type and source — indicating whether the user was created via access level, copy user, or a custom method.   • Updated the Pia: Release Quarantined Emails automation to filter quarantine emails so items with the "Requested" release status are presented first. (#28182)

User Onboarding & User Offboarding SmartForms Changes

We have now added the ability to procure licenses through User Onboarding and User Offboarding SmartForms so that when a user submits a User Onboarding or a User Offboarding request through the SmartForms portal, Pia can automatically provision or deprovision license based on the request submitted.

As a refresher, here is the list of CSP integrations supported by Pia and a quick guide on CSP Integration configuration: CSP Integrations.

This feature can be enabled with the same checkbox that is used to enable CSP license Procurement in Chatbot Automations.

Challenge User Identity via Duo

Of course, not every client uses Windows Authentication which is why we've extended our support for the new Pia: Challenge User Identity via Duo automation to Duo.

A push notification will be sent to the user's Duo app asking them to confirm that the request is being made by them or someone on their behalf. (#25658)

Reset/Modify Users MFA Auth Methods with Duo

Use the Reset/Modify Users MFA Auth Methods with Duo automation to add or remove authentication methods configured in a user's Duo app. You can choose to set up SMS or email-based authentication, which will be sent to the user for verification. (#26362)

🌟 2x New AI AutoStart Automations!

We're excited to announce the addition of two new automation packages to our AI AutoStart lineup: Pia: Outlook Mail Flow Troubleshooter (#25875) and Pia: Printer Troubleshooter (#26237).

With AI AutoStart enabled, these automations will initiate relevant troubleshooting steps as soon as the user submits a request and generate a report in the chatbot without any manual intervention from the engineer.

🤝 CSP License Provisioning Integration with Sherweb

Sherweb CSP now adds to our list of supported CSPs for managing Office 365 licenses!

You can now automatically manage Office 365 licenses directly through our automation processes like Staff Onboarding, Staff Offboarding, and Manage User Licenses. This enhancement will save you time and streamline your routine processes, making license management more efficient and hassle-free! (#9490)

For the Pia: Staff Onboarding Automation, you can use the License Provisioning options available in the Package Configuration Form to enable/disable this feature.

The Pia: Modify CSP Subscriptions Automation has also been updated to support license procurement through Sherweb. As with other CSP integration, this enhancement allows you to review and choose how you wish to adjust the subscriptions for your Licenses via Sherweb.

Automation 10.1 is our latest follow up version after Automation 10. This new release brings to you a series of important bug fixes and some exciting new enhancements to further optimize your Service Desk operations!

When will I receive Automation Release 10.1?

  • The Pia: Log Out User from Windows RDS Package now logs additional audit notes in the ticketing system providing more information on the logged in user and the server. (#25894)
  • Additional naming conventions, including 'firstFull_lastFull,' 'firstinitial_lastFull' and 'firstFull_lastInitial' have now been implemented in the Pia: Staff Onboarding package for SAM Account Name and UPN. (26624)
  • Modified the Pia: Create Shared Mailbox Package to automatically disable newly created accounts by default. An optional setting is now available in the chatbot within the mailbox creation form, to enable the generated account if required. (#26518)
  • Enhanced the Pia: Staff Offboarding (Semi-Hybrid) Package with the ability to hide the user mailbox from Global Address list. (#26664)
  • Two new license options have now been added to Pia's license matrix, allowing them to be selected as part of the user license selection process for multiple automations.These licenses are: MicrosoftTeams_Enterprise_New and Microsoft_365_E3(no_Teams). (#26656)
  • The Pia: Staff Onboarding Package has now been updated to inform the engineers that the default license if the default licenses are not available. (#26288)

  • Implemented the ability to run the Pia: Staff Onboarding automation without requiring the use of a manual DirSync. Pia will now simply wait for the user to appear in Office 365 if configured to do so via the newly added package configuration option. (#26298)
  • Updated the Pia: Computer Space Cleanup package to output DISM results in the chatbot in the case of a failure from the DISM tool, the output will now indicate as such and indicate what error has occurred. (#26849)

  • Fixed an issue in the Grant Mailbox Permissions in Bulk package where users could not configure "send on behalf" of a mailbox due to incorrect of UPN to Primary SMTP. (#25454).
  • Fixed an issue in the Re-Enable Terminated User automation where only Organizational Units (OU) containing at least 1 active user were available for selection when re-enabling terminated accounts. The system now loads all OU's for Cloud Hybrid and On-Prem environments (#25453).
  • Fixed an issue in the Staff Onboarding package where an incorrect error message was displayed during an Active Directory sync issue. The system now shows the correct error message and retries the sync if needed (#25449).
  • Fixed an issue in the Create Shared Mailbox package where the .onmicrosoft domain wasn’t available when creating shared mailboxes. The system now correctly includes the .onmicrosoft domain as a valid option (#25448).
  • Fixed an issue in the Staff Onboarding automation where a failed license assignment caused a retry loop but didn’t skip unnecessary steps. The system now skips directly to the next relevant step, improving efficiency (#25416).
  • Improved the wording in the Grant Mailbox Permissions in Bulk automation to ensure engineers see a clear message stating that “All permissions will be removed” during mailbox permission removals (#25407).
  • Fixed an issue in the Staff Onboarding automation where removing an "@" symbol from a UPN field caused a failure. We now ensure the "@" symbol is always present, preventing errors during user creation (#25396).
  • Added a clearer error message in the Reset Network Password automation to inform engineers when a password complexity rule isn’t met. The system now also verifies password success and retries if necessary (#25390).
  • Fixed an issue in the CSP Licensing: Modify Subscriptions automation where timeouts occurred and responses were not handled correctly. We’ve increased the timeout and improved the error handling logic to catch and retry on failures (#25386).
  • Fixed an issue in the Reset Network Password package where we couldn’t find the user in the domain controller, leading to errors. We’ve added more variables to ensure the user can be found more reliably (#25380).
  • Updated the SonicWall VPN package to ensure the latest version of the application is installed by using the updated installer URL (#25361).
  • Fixed an issue in the Change User Details automation where we were using an outdated PowerShell method that caused errors. We’ve updated it to use the correct method for compatibility (#25349).
  • Fixed an issue in the VPN Setup automation where space characters in the input variables caused incorrect data processing. We’ve removed unnecessary whitespace to ensure proper handling (#25331).
  • Improved error handling in the CSP Licensing: Modify Subscriptions automation to ensure exception messages are always logged, and retries occur for certain errors to successfully collect subscriptions (#25324).
  • Fixed an issue in the Create Shared Mailbox package where a misleading error was shown for federated domains. We’ve added a specific error message to clarify the exact issue when updating the UPN fails (#25310).
  • Fixed an issue in the Staff Onboarding package where the middle name field was incorrectly marked as failed without a proper null check. Now it only fails if the field is actually empty or null (#25290).
  • Fixed an issue in the Change User Details automation where whitespace in proxy addresses caused updates to fail. We’ve added trimming to ensure the input is handled correctly (#25273).
  • Fixed an issue in the Staff Offboarding automation where mailbox conversion would fail if the mailbox couldn’t be found. We’ve added handling to allow retries or skipping mailbox actions when necessary (#25270).
  • Improved the Staff Onboarding automation to ensure licenses are processed correctly when the prompt for confirmation setting is disabled. Now it handles licenses without duplicates automatically, and asks for confirmation only if needed (#25266).
  • Fixed an issue in the Staff Onboarding and Change User Details automations where validation for user names was too strict. We’ve adjusted the logic to allow numbers at the start of names and display names (#25265).
  • Improved the Staff Onboarding automation to handle retries when calendar permissions fail due to a connectivity issue. It will now retry or notify the engineer depending on the issue (#25251).
  • Fixed an issue in the Staff Offboarding automation where the Get User Details activity would fail when trying to retrieve details of a disabled user. We’ve moved this activity earlier in the workflow to prevent the error (#25247).
  • Fixed an issue in the Add/Remove User from Groups package where groups with unreadable names were causing errors. We now use the ObjectGUID to ensure proper handling of groups even when their display name is null or unreadable (#25230).
  • Fixed the Microsoft Teams Troubleshooter automation to ensure it clears all cache locations, including the new Teams cache (#25229).
  • Improved the Staff Onboarding automation to continue successfully when no customer is selected (when using the CSP integration), only showing licenses with available counts greater than zero (#25221).

When will I receive Automation 9?

  56. Fixed issue with Azure reset password force password change on next sign-in by verifying token delegate permission and using appropriate endpoint in the Terminate User automation (#22551).
  57. Fixed issue with accessing organizational units in New User U drive setup (#24287).
  58. Fixed issue where duplicate licenses were procured for new users by making license selection form selectable (#24614).

🌟Additional Enhancements

  1. The Pia: Install/Uninstall/Reinstall Software Automation has been modified to solve the problem of package freezing. The automation now also performs the following tasks:
  • Installs apps based on the manifest file context
  • Collects apps and uninstall apps in both a system and user context
  • Also added a reporting functionality for each action (install or uninstall) to inform the engineer of the package completion (#21581)

🐛 Bug Fixes

  1. The Pia: Create a Group Automation now shows email suffixes as expected. (#24154)
  2. The Pia: Computer Performance Report Automation was not running for a client due to an edge case scenario. This has now been fixed. (#24202)
  3. The Pia: Grant/Revoke Mailbox Access Automation will simply look for exchange online mailboxes if the client is running a cloud hybrid mode and do not have an on premise exchange server. If the client does have an on premise exchange we will run the package as if it was on prem only. (#24268)
  4. The Pia: New User (Cloud Hybrid) Automation has been updated with additional logic to prevent the same error being logged multiple times in the database. (#23228)
  5. The Pia: New User (Cloud Only) Automation now allows multiple pre-selected licenses to be selected in an access level for CO package. (#24257)
  6. The Pia: New User (Cloud Only) Automation was failing to create new user properly for a client due to an edge case scenario. This has been fixed. (#24015)
  7. The Pia: New User (All Environments) Automation has been updated with a fix to resolve the issue of package erroring when setting additional attributes. (#24314)
  8. The SmartForms: Terminate User (Cloud Hybrid) Automation now converts mailboxes automatically if zero touch is enabled and mailbox does not have litigation hold or archiving enabled. (#24483)
  9. The SmartForms: Terminate User (Cloud Hybrid, Cloud Only, Prem Only) Automation has now been fixed to properly run the zero touch functionality. (#24517)
  10. The SmartForms: Terminate User Automation has been updated so that it counts manual tasks correctly and no longer prompts or halts execution when on zero touch configuration if no manual tasks have been specified. (#23813)
  11. The Pia: Terminate User (Cloud Hybrid) Automation now correctly prompts engineer whether they want to setup Out of Office based on the client's exchange server configuration. (#22861)
